Position Summary:
This Executive Assistant role is an administrative support position covering phones, scheduling, expenses, and other admin and project duties for the Co-President of Searchlight Pictures.

Responsibilities:
Manage calendar for executive, including scheduling and confirming meetings both internally and externally
Manage phones, roll calls and take notes, and update phone sheet
Maintain a log of incoming script submissions and disseminate this information with the appropriate internal departments
Coordinate domestic and international travel and logistics for both executive and talent
Prepare and submit expense reports
Assist with general office tasks, including ordering and maintaining office supplies and food stocks for the department
Develop and maintain a thorough familiarity with all projects occurring within the company
Liaise closely with the co-President’s assistant, as well as with executives, talent, and other assistants, both internally and externally
Support departmental projects as needed, including, but not limited to, maintaining organizational documents, grids, and databases, and preparing agendas and memos for high-level leadership meetings
Represent the President’s office in a professional manner
Experience / Qualifications:
Bachelor’s degree or equivalent work experience
Ability to work independently and proactively to solve problems
Strong people skills, including the ability to work effectively and collaboratively as part of a team
Ability to take initiative and work with limited direction
Positive attitude and the ability to be proactive, resourceful, and flexible
Detail-oriented with superior organizational skills
Excellent communication skills, both written and verbal
Enthusiasm for film and television, particularly specialty/arthouse films
Strong computer literacy and proficiency with Microsoft Office
Demonstrated ability to prioritize, multitask, meet deadlines, and change the course of action quickly
Ability to work with confidential information
Experience at a Studio, Production Company, Literary or Talent Agency preferred
The hiring range for this position is $69,946.00 to $93,830.00 per year in California. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
