The MSA is assigned to any inpatient or outpatient unit within Patient Care Services (Emergency Department, Med-Surg, Intensive Care, Inpatient Mental Health, Preadmission Testing Unit, Endoscopy unit), and is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patientÂ's appointments and/or consults; monitoring both inpatient and outpatient appointments for areas of responsibility; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and p! reauthorization requirements for specific coverage.

Develops and maintains inpatient records, audits records, and verifies that charts and electronic records are maintained according to directives. Completes inpatient movement transactions, transfer documents, requests records from outside facilities, and tracks and verifies accurate completion of work. Performs various administrative tasks in support of the department, including, but not limited to; answering telephones and patient call system, taking messages and transferring calls as appropriate, filing, inventory of supplies, reception duties, updating patient status in electronic patient management systems, use of PC, copier, fax machine, telephone, and various printer types.

Plans and organizes work with general assistance from the supervisor as to meet local and VA-wide time frames to complete analysis requirements, reports and special assignments and only refers to the non-routine and high technica! l problems to his/her supervisor. Responsible for reporting backlogs, d! ifficulties in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or the record.

Routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitivity of patient information.

Initiates and carries out a vast variety of advisory and technical duties including serving as receptionist/secretary, unit timekeeper, providing telephone assistance and triage of telephone calls, patient call bell system, scheduling appointments for tests, procedures and surgery, receives patients on units and initiates admitting process, and routes patients to their destinations. Provides other administrative support for the clinical staff as required for patient care.

Initiates appropriate action to begin the admission process for patients. This includes, but is not limited to; preparing a medical chart for the patient, wh! ich will be maintained by the MSA throughout the entirety of the inpatient stay, admitting the patient into the VISTA system which places the patient in a room and bed and allows the provider to enter orders for admission, medications, testing, ensures that appropriate forms and results are available for the health care providerÂ's use, and requests records from other facilities or care providers at the request of patient or clinical staff. The appropriate forms will be dictated by VHA directives and local policy and may change during the course of treatment. The MSA maintains all necessary documents in the medical chart in correct order/sequence throughout the patientÂ's admission. The MSA verifies veteran eligibility for care and assists patient in the completion of required MEANS testing and Co-pay testing. The MSA will transcribe verbal orders from doctors or registered nurses only under emergency conditions.

The MSA responds to problems and hears patientsÂ' re! quests, needs and concerns, whether in person or via telephone, referri! ng only complex administrative issues to the Charge nurse/Nurse Manager or supervisor.

The MSA verifies that health care orders are entered into the Computerized Patient Record System (CPRS) properly and completely. The MSA will flag incomplete and inaccurate orders for health care provider correction. He/she will verify that medical staff has completed all appropriate medical forms for request of blood products, request of laboratory or radiology procedure, etc. He/she schedules necessary follow-up appointments through the Decentralized Hospital Computer Program (VISTA). He/she schedules patients for admission, surgery and outpatient procedures or appointments when appropriate, instructs patient regarding the geographic layout of the VASNHCS, receives and screens in-house and outside calls to clinical staff and patients. He/she coordinates requests for travel to include Â"special modes of transportationÂ" through the contracted transportation companies, VASNHCS tr! avel department and nurse discharge planner, ensuring that requests are completed accurately by the referring providers.

The MSA collects, compiles, and enters various data into the VISTA system, all of which must be extremely accurate. This information may include interward transfers, bed changes, physician or specialty changes, etc.

Work Schedule: Full Time, 40 hours per week
This position is covered by the Bargaining Unit.

Experience - One year of experience equivalent to the next lower grade level (i.e. GS-5) - as described below:

Examples of qualifying experience ! include, but are not limited to: coordinates with the inpatient care te! am to review the level of administrative support required, and make adjustments as necessary; assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; facilitate/process secure messaging with the patient and team; notify patients of scheduled appointments; develop and manage a tracking system for follow up care such as consults, tests, etc.; participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information is entered into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit/procedure (e.g., X-ray, lab work); providing input regarding problem solving on operational issues or procedures in team meetings, performing administrative fol! low up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; and management of inpatient belongings storage area.

PHYSICAL REQUIREMENTS: The work is sedentary. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts. No special physical demands are required to perform the work. Hearing aids permitted.
