Your Role.

The Bear Creek School is currently seeking to add a member of our front office team! The receptionist is the gatekeeper and first face people often see when coming to The Bear Creek School. You may work additional hours and may be on-call to work when a receptionist, attendance coordinator, or other general office staff are on vacation or have called out sick, sometimes with advance notice and at other times with little notice. The receptionist would be provided on-the-job training and is responsible to act upon general office duties.

We are seeking an individual who will…

  • Arrive at 8am to open office and close office at 1pm
  • Open the office and phone lines on-time each day and maintain up-to-date voicemail messages
  • Provides support and back-up to the Valley Division Assistant
  • Greet and direct visitors with warmth and enthusiasm
  • Operate electronic visitor system, processing drivers’ licenses for visitor badges
  • Answer and redirect phone calls; navigate our website to assist with answering questions
  • Check and appropriately respond to or forward emails and phone messages
  • Provide back-up support to our Health Room Nurse and Attendance Coordinator
  • Capture late arrival or early dismissed students in Raptor
  • Follow up with classrooms to capture Attendance in timely manner
  • Keep front desk area stocked, clean, and orderly
  • Stock coffee and staff kitchen
  • Sort and distribute mail daily
  • Operate and stock copier, fax machine, shredder, and other office equipment as needed
  • Assist with filing and mass mailings as needed
  • Ensure library books are checked in and out as needed
  • Place supply and snack orders
  • Responsible for keeping front desk documentation up to date
  • Responsible for keeping notice and classroom boards up to date
  • Assist with carpool at drop off and pick up times
  • Have experience with or learn to navigate a variety of software products and databases, namely Microsoft Outlook, Microsoft Word, Microsoft Excel, Veracross, and others as needed
  • Monitor and consult a number of internal calendars to support your duties and functions throughout the day
  • Maintain confidentiality and security of student record files daily
  • Monitor shortwave radio for communication with recess-duty assistants and other employees
  • Monitor front desk security cameras[MD1][MD2]
  • Participate in specific roles in the event of emergencies according to the Emergency Response Plan
  • Performs other related duties as assigned

Experience and Skills:

Required Experience and Education.

  • High school diploma required, postsecondary coursework highly desired
  • Previous office experience, preferably in a school setting
  • Currently held CPR/AED/First Aid Certification (with Epinephrine Auto Injector supplement included), or arrangements made to obtain certification within 90 days of employment start date
  • Applicants must be currently authorized to work in the United States for any employer. No sponsorship is available for this position
